These Terms & Conditions govern your use of the Easywise Portal school management platform. By accessing or using the platform, you agree to be bound by these terms.
1. About Easywise Portal
Easywise Portal ("we", "us", "our", "the Platform") is a cloud-based school management system developed and operated by Easywise Nigeria ("Easywise"). The platform provides Nigerian schools with tools for student management, attendance tracking, grade management, fee collection, parent communication, and administrative operations.
The platform serves three categories of users: School Administrators, Teachers, and Parents/Guardians (collectively "Users"). Each school that subscribes to Easywise Portal is referred to as a "Subscriber".
2. Acceptance of Terms
By accessing or using Easywise Portal, you confirm that you are at least 18 years old (or a parent/guardian consenting on behalf of a minor), have the authority to bind yourself or your organisation to these terms, and have read and understood this agreement in full.
3. User Accounts
Account Creation
School administrators are responsible for creating and managing accounts for teachers and staff
Parent accounts are created by the school administration using verified contact information
All users must provide accurate, truthful information during registration
Each user is responsible for maintaining the confidentiality of their login credentials
Account Security
You must notify us immediately of any unauthorised access to your account
Easywise is not liable for losses caused by unauthorised account access where the user failed to maintain adequate security
Sharing login credentials between users is strictly prohibited
4. Acceptable Use
Users must not use Easywise Portal to:
Upload false, misleading, or inaccurate student or academic records
Harass, threaten, or intimidate other users — including parents, teachers, or students
Attempt to access data belonging to other schools or users without authorisation
Circumvent security features or attempt to breach the platform
Use the platform for any commercial purpose not authorised by Easywise
Upload malicious code, viruses, or harmful content
Violate the privacy of students or staff by sharing confidential data externally
5. Student Data
Schools are the data controllers for all student information entered into Easywise Portal. Easywise acts as a data processor on behalf of schools. Schools are responsible for obtaining appropriate consent from parents before entering student data into the system and for ensuring that data entered complies with the Nigeria Data Protection Act 2023.
6. Service Availability
Easywise Portal is provided on a best-efforts basis. We aim for 99% uptime but do not guarantee uninterrupted access. Planned maintenance windows will be communicated in advance wherever possible. Easywise is not liable for losses arising from service downtime or interruption.
7. Limitation of Liability
To the maximum extent permitted by Nigerian law, Easywise shall not be liable for any indirect, incidental, or consequential damages arising from use of the platform, including loss of data, academic records, or fees. Our total liability in any circumstance shall not exceed the subscription fees paid by the school in the preceding three months.
8. Intellectual Property
All software, design, code, and content of Easywise Portal are owned by Easywise Nigeria and protected by Nigerian and international copyright law. Schools and users may not copy, reverse-engineer, or create derivative works from the platform. Student and school data entered by users remains the property of the respective school.
9. Termination
Easywise may suspend or terminate access for violation of these terms, non-payment of subscription fees, or conduct that is harmful to the platform or other users. Upon termination, schools may request an export of their data within 30 days. After 30 days, data may be permanently deleted.
10. Governing Law
These Terms are governed by the laws of the Federal Republic of Nigeria. Disputes shall be subject to the jurisdiction of courts in Lagos State, Nigeria.
Easywise Nigeria is committed to protecting the privacy of schools, staff, parents, and students. This Privacy Policy explains how we collect, use, store, and protect personal data in compliance with the Nigeria Data Protection Act 2023 (NDPA) and the Nigeria Data Protection Regulation 2019 (NDPR).

Behavioural notes (if entered by school staff)
Technical Data
Browser type, device type, and IP address
Login timestamps and session activity
Pages accessed within the platform
2. How We Use Data
To provide and operate the school management system
To display student academic, attendance, and fee records to authorised users
To send notifications to parents via WhatsApp and email about student performance and school announcements
To generate report cards, attendance reports, and fee receipts
To improve the platform based on usage patterns
To detect and prevent fraudulent or unauthorised access
To comply with legal obligations under Nigerian law
3. Legal Basis for Processing
Contractual necessity: Processing required to deliver the platform service under the Subscriber Agreement
Legitimate interests: Platform security, fraud prevention, and service improvement
Consent: For communications and notifications beyond core service delivery
Legal obligation: Compliance with Nigerian education regulations and data protection law
4. Data Sharing
We do not sell student or school data under any circumstances. We share data only in these limited cases:
Within the school: Authorised staff see only data relevant to their role
Service providers: Supabase (database), WhatsApp Business API (notifications). All providers operate under data processing agreements
Legal requirements: Nigerian regulatory or court orders
Business transfer: In a merger or acquisition, with advance notice to schools
5. Student Data — Special Protections
Student data is treated with the highest level of care. We apply the following protections specifically for student data:
Student records are only accessible to the specific school's administrators, teachers, and the student's own parent/guardian
No student data is ever used for advertising or marketing purposes
Student data is never shared between schools
Schools can export or delete all student data at any time
We comply with applicable Nigerian child data protection standards
6. Data Security
We implement industry-standard security measures including HTTPS encryption for all data in transit, encrypted storage via Supabase, role-based access controls (administrators, teachers, and parents see only data relevant to their role), row-level security policies, and regular security audits.
7. Data Retention
Active school data is retained for the duration of the subscription plus 90 days
After subscription cancellation, schools may export data within 30 days
Student academic records may be retained for up to 7 years as required by Nigerian education regulations
Anonymous usage analytics may be retained indefinitely
8. Your Rights (NDPA 2023)
Schools, staff, and parents have the following rights under the Nigeria Data Protection Act:
Access: Request a copy of your personal data
Correction: Request correction of inaccurate data
Deletion: Request erasure of personal data (subject to legal retention requirements)
Portability: Request data in a portable format
Objection: Object to specific types of processing

9. Cookies
Easywise Portal uses session cookies for authentication only. We do not use advertising or tracking cookies. Disabling cookies in your browser will prevent login functionality.
10. Children's Privacy
Student accounts are managed by schools and parents — students do not directly create accounts on Easywise Portal. All student data is entered and controlled by the school. Parents may request access to or deletion of their child's data at any time by contacting their school administrator.

This Subscriber Agreement governs the relationship between Easywise Nigeria ("Easywise") and any school or educational institution ("Subscriber") that subscribes to and uses the Easywise Portal platform.
1. Subscription Plans
Easywise Portal is available on three subscription plans:
Starter — ₦150,000/year: Up to 200 students, core features (attendance, grades, fees, parent communication)
Professional — ₦300,000/year: Up to 500 students, all Starter features plus WhatsApp notifications, report card generation, and analytics dashboard
Enterprise — ₦500,000/year: Unlimited students, all Professional features plus custom branding, dedicated support, and API access
Pricing is subject to change with 60 days' written notice to existing subscribers.
2. Payment Terms
Subscription fees are due in advance of the subscription period
Payment may be made annually, quarterly, or monthly as agreed
Late payment may result in account suspension after 14 days' notice
Fees are non-refundable except where required by Nigerian law
Bank transfer, card payment, and Paystack are accepted
3. School Responsibilities
As a Subscriber, the school agrees to:
Appoint a designated administrator responsible for the school's account
Ensure all staff and parents using the platform comply with these terms
Maintain the accuracy of student and staff records entered into the system
Obtain appropriate consent from parents before entering student data
Not share administrator login credentials with unauthorised persons
Promptly notify Easywise of any data breach or security incident
Use the platform only for its intended educational management purposes
4. Easywise Responsibilities
Easywise agrees to:
Provide access to the agreed Easywise Portal features under the subscribed plan
Provide technical support via WhatsApp and email during business hours
Notify subscribers of planned maintenance at least 24 hours in advance
Protect subscriber data in accordance with this agreement and the Privacy Policy
Provide data exports upon request or at termination
Not use school or student data for any purpose other than platform operation
5. Onboarding & Support
Easywise provides a free onboarding session for new subscribers
Platform training materials and documentation are provided at no extra cost
Ongoing technical support is included in all plans
Enterprise subscribers receive a dedicated account manager
6. Data Ownership
All student records, academic data, fee records, and school information entered by the subscriber remain the property of the subscribing school at all times. Easywise acts as a data processor only. Upon termination, all school data will be made available for export for 30 days and thereafter deleted from our servers.
7. Confidentiality
Both parties agree to maintain the confidentiality of all information shared under this agreement. Easywise will not disclose school data, student records, or financial information to any third party except as required by law or as described in the Privacy Policy.
8. Customisation & Branding
Enterprise subscribers may apply custom school branding (logo, colours, school name) to parent-facing interfaces. White-labelling of the platform itself is not permitted without a separate commercial agreement.
9. Termination
Either party may terminate with 30 days' written notice
Easywise may terminate immediately for material breach, including non-payment or misuse
Subscribers may cancel at any time but fees already paid are non-refundable
Upon termination, data export is available for 30 days
10. Dispute Resolution
Disputes shall first be addressed through direct negotiation. If unresolved within 30 days, disputes shall be referred to mediation in Lagos under the Lagos Multi-Door Courthouse. Governing law: Federal Republic of Nigeria.
This Data Protection Policy outlines how Easywise Nigeria collects, processes, stores, and protects personal data in accordance with the Nigeria Data Protection Act 2023 (NDPA), the Nigeria Data Protection Regulation 2019 (NDPR), and applicable international best practices.
1. Our Commitment
Easywise Nigeria is committed to responsible data stewardship. We recognise that schools entrust us with sensitive information about children, families, and educational institutions. We treat this responsibility with the highest level of care, transparency, and accountability.
2. Data Controller vs. Data Processor
In the context of Easywise Portal:
Schools are Data Controllers: Each subscribing school determines the purpose and means of processing student, parent, and staff data. Schools are responsible for their legal basis for processing.
Easywise is a Data Processor: We process data only on behalf of and on the instructions of the subscribing school. We do not independently determine how or why data is used.
This distinction is important under the NDPA 2023 and determines each party's legal obligations.
3. Data Processing Agreement
By subscribing to Easywise Portal, the school enters into a Data Processing Agreement (DPA) with Easywise. Under this DPA, Easywise commits to: processing data only on documented instructions from the school, ensuring all staff with access to school data are bound by confidentiality, implementing appropriate technical and organisational security measures, notifying the school within 72 hours of any confirmed data breach, assisting the school in fulfilling data subject rights requests, and deleting or returning all data upon termination of the subscription.
4. Technical Security Measures
Encryption: All data is encrypted in transit via HTTPS/TLS 1.3 and at rest via AES-256
Access Control: Role-based permissions — administrators, teachers, and parents access only data relevant to their role
Row-Level Security: Database-level policies prevent cross-school data access
Authentication: Secure login with session management and automatic timeout
Audit Logs: All data access and modifications are logged
Backup: Daily automated backups with 30-day retention
5. Sub-Processors
Easywise uses the following sub-processors to deliver the platform:
Supabase Inc.: Database hosting, authentication, and file storage. Data stored on EU servers with GDPR compliance.
WhatsApp Business API: Parent notification delivery. Messages are end-to-end encrypted.
Google Fonts: Typography delivery via CDN. No personal data transmitted.
We will notify subscribers of any changes to sub-processors with at least 30 days' notice.
6. Data Breach Response
In the event of a confirmed or suspected data breach:
Easywise will notify affected schools within 72 hours of becoming aware
Notification will include the nature of the breach, data categories affected, approximate number of individuals affected, likely consequences, and measures taken
Schools are responsible for notifying the NDPC and affected individuals as required by law
Easywise will cooperate fully with any regulatory investigation
7. International Data Transfers
Easywise stores data primarily within Supabase's infrastructure. Where data is processed outside Nigeria, we ensure adequate safeguards are in place, including standard contractual clauses and GDPR-equivalent protections. Schools will be notified of any changes to data storage locations.
8. Data Minimisation
We collect only the minimum personal data necessary to deliver the Easywise Portal service. We do not collect sensitive categories of data (such as biometrics, health records, or religious beliefs) unless specifically requested and configured by the school with appropriate consent.
